The Collections Entry page is where you record what came out of each machine on a given
collection day. Select a location, pick the date, and fill in whatever you collected.
Everything saves automatically as you go -- there is no Submit button to click.
Selecting a Date
The date picker at the top controls which day's entries you are viewing or editing.
Dates with a red dot already have entries saved --
click one to review or update a previous collection. Dates without a dot are blank.
Staff members always default to today's date and cannot change it. Shop owners can pick
any past date to correct or backfill entries.
Coin Machines (Weight Entry)
For standard coin machines -- Quarters, Tokens, or similar -- you enter the weight of
the collected coins in grams. The system converts this to an estimated
dollar value automatically using the coin weight you set on your Machine Type.
- Type the weight and click away -- it saves instantly.
- Entering 0 or leaving it blank clears the entry for that machine on that date.
- A green left border on the card means an entry is already saved for that machine today.
Bill Validator Machines (Count Entry)
For machines with bill validators, you enter the number of bills
collected rather than a weight. The system tracks this as a count.
- Entering 0 or leaving it blank clears the entry and removes any attached photo.
- You can optionally attach a photo of the bill validator readout using the camera icon.
The photo saves immediately when selected.
- A photo cannot be attached unless a bill count greater than 0 is already saved.
- To remove a photo, click the red X button next to the camera icon.
Coins & Bills Machines
Some machine types collect both coins and bills. These cards show two input fields
side by side -- a gram weight for coins and a count for bills. Each saves independently,
so you can fill in one or both. The row is only cleared if both fields are zero or blank.
Notes
Each card has a small notes field below the weight/count input. Use this for anything
worth remembering about that particular collection -- unusual amounts, machine issues,
or anything else. Notes save along with the entry.
The Alphabet Jump Bar
If you have a lot of machines at a location, the A--Z bar at the top lets you jump
directly to machines starting with a particular letter. Letters that have no machines
are grayed out. The ↑ Top button on the right scrolls back to
the top of the page.
Progress Bar
The progress bar at the top of the machine list shows how many machines have been
filled in so far for the selected date. It updates in real time as you enter values.
Quick Tips
- You do not need to fill in every machine -- blank machines are simply skipped in reports.
- If you make a mistake, just re-enter the correct value and it will overwrite the saved one.
- Entries are per-location, per-date -- switching locations shows a completely separate set of machines.
