Locations represent the physical places where your machines are installed --
a bar, bowling alley, laundromat, or any other venue. Every machine must be
assigned to a location, and collections, reports, and ticket routing are all
organized by location.
Location Name
The name used throughout the system to identify this venue. It appears on
collection entry dropdowns, all reports, ticket submissions, and QR labels.
Use a clear, unique name -- duplicate location names will cause confusion
across reports. If you have multiple locations at the same venue
(e.g. a bar with an upstairs and downstairs floor), distinguish them in
the name (e.g. "Main Street Bar - Main Floor", "Main Street Bar - Upstairs").
Operator Split
The operator split defines what percentage of coin earnings belongs to you
(the operator) versus the location owner. It is entered as a decimal between
0 and 1 and can be set independently per machine type at each location.
Common split values:
| Value | Meaning |
| .50 | 50/50 -- you and the location each keep half |
| .60 | 60/40 -- you keep 60%, location keeps 40% |
| .75 | 75/25 -- you keep 75%, location keeps 25% |
| blank | No split tracked -- full amount shown as earnings |
Splits appear on the Collections Report as the Op Split
(operator share) and Loc Split (location share) columns.
Different machine types at the same location can have different splits --
for example, pinball at 60/40 and redemption at 50/50.
Staff Ticket CC
When a customer submits a new repair ticket for a machine at this location,
the shop owner automatically receives a notification email. The
Staff Ticket CC setting lets you assign one additional
staff member to also receive a copy of that same email.
This is useful when a specific staff member is responsible for a particular
venue -- they get notified immediately when something needs attention at
their location without having to check the ticket board manually.
- Only active staff members appear in the dropdown.
- Select -- None -- if no CC is needed for this location.
- The CC email is sent at the same time as the owner notification and
contains identical information.
- If the assigned staff member is later deactivated, the CC stops
automatically -- no update to the location is required.
Active / Inactive
Inactive locations are hidden from the collection entry dropdown and new
machine assignments. Their historical data -- collections, tickets, and
reports -- is fully preserved. Set a location to inactive when a venue
relationship ends rather than deleting it, so your earnings history stays intact.
Deleting a Location
A location cannot be deleted if any machines or open tickets are currently
associated with it. Reassign or close those first. Deleting a location also
removes any split records attached to it but does not affect collection
history already recorded.
